A Systems Analysis of Selected Areas in the Medical Records Department, USPHS Hospital, New Orleans, Louisiana
Abstract
This study was concerned with determining the most efficient methods of improving areas within the medical record department at the United States Public Health Service Hospital, New Orleans, Louisiana, that would produce the most significant improvement in efficiency and be most readily adaptable to implementation with minimum expense. A systems analysis was performed in the medical record department with time studies, statistical sampling, interviews both in and outside the hospital and its system, a thorough literature review, and correspondence with various agencies. Findings, in general, revealed a productive medical record department compared to operations described in literature. Specific major deficiencies were a lack of supervisory support at hospital level, congested work flow processes, inability to complete medical records as desired, queuing problems and lack of privacy in the admitting office, and lack of needed efficiency in the file room. Recommendations included general reorganization of the medical record department under administrative supervision, improved work flow suggestions, centralization of steno pool and establishment of training programs, privacy screens and improved color schemes in the admitting office, a change in the records filing system, and improvement in the supervision of physicians administrative responsibilities.
